1.1 This privacy policy explains how O2 Agri Ltd (“we”, “us”, “our”) collects and uses your personal data. We are the data controller responsible for your personal data.

1.4 This policy is governed by UK data protection law, including the UK GDPR and the Data Protection Act 2018.
2. The personal data we collect
2.1 When you complete the contact form on our site, we collect: – your name (first and last name); – your company name; – your email address; – your telephone number; and – the content of your message / enquiry (including any request for a technical sheet).
2.2 We do not collect any special category data (such as health or biometric data) through our site.
2.3 If our site uses cookies or analytics, we may also collect technical data about your device and visit — see section 8 (Cookies).
3. How we use your personal data, and our lawful basis
3.1 We use your personal data to: – respond to your enquiry and provide the information, technical sheets or quotations you request — lawful basis: taking steps at your request prior to entering a contract, and our legitimate interests in responding to enquiries; – manage our relationship with you and our business — lawful basis: our legitimate interests in running and growing our business; – send you information about our products and services where permitted — lawful basis: your consent, or our legitimate interests where you are an existing customer (see section 6); – comply with our legal and regulatory obligations — lawful basis: legal obligation.
4. Who we share your data with
4.1 We do not sell your personal data, and we do not share it with third parties for their own marketing.
4.2 We use trusted third-party service providers who process personal data on our behalf, under contract and only on our instructions. These currently include: website hosting (TIEM); email, IT and productivity services (Microsoft 365); and website analytics (Google Analytics).
4.3 We may also disclose your personal data where required to do so by law, regulation or court order, or to protect our legal rights.
5. International transfers
5.1 “Some of our service providers process personal data outside the UK. Where they do, we ensure an appropriate safeguard is in place, such as the UK Extension to the EU-US Data Privacy Framework or the International Data Transfer Agreement, so that your data receives an equivalent level of protection.”
6. Marketing
6.1 We will only send you marketing communications where you have asked us for information or purchased products from us and have not opted out, or where you have otherwise consented.
6.2 You can ask us to stop sending marketing communications at any time by emailing info@o2agri.com.
7. How long we keep your data
7.1 We keep your personal data only for as long as necessary for the purposes set out in this policy.
7.2 Where you become a customer, we keep records for six years after the end of our relationship, to meet tax and legal requirements.
7.3 We may keep anonymised data (which can no longer identify you) indefinitely for analysis and product improvement.
8. Cookies
8.1 Our site uses cookies and similar technologies. Strictly necessary cookies are required for the site to function. We only set non-essential cookies (such as analytics) with your consent, which you can give or withdraw through our cookie banner.
9. Your rights
9.1 Under UK data protection law you have the right to: request access to your personal data; request correction of inaccurate data; request erasure; object to processing; request restriction of processing; request transfer of your data (data portability); and, where processing is based on consent, withdraw that consent at any time.
9.2 To exercise any of these rights, contact us using the details in section 1. We will respond within one month (this may be extended for complex requests, in which case we will let you know).
10. Security and breaches
10.1 We have appropriate technical and organisational measures in place to protect your personal data. Where we are legally required to do so, we will notify you and/or the ICO of a personal data breach.
